Privacy policy

How I collect, use and protect your personal information, in plain English.

Who I am

This website is run by Paul Reisbach, a therapist trading as Transforming Talk Psychotherapy, based in Exeter, Devon. I am the “data controller” for the personal information described here, which means I decide how it is used and I am responsible for looking after it.

You can contact me about anything in this policy using the contact form, or by leaving a voicemail on 01392 241113.

I am registered with the Information Commissioner’s Office (ICO), registration number ZB666338.

This policy covers this website and enquiries made before therapy begins. If you become a client, I will explain how I keep and protect therapy records in my client agreement.

What I collect and why

Contact form. If you use the contact form, I receive your name, email address, phone number and your message. I use these only to reply to you and to arrange a free consultation if you would like one. The form sends your message to my email inbox; it is not stored on this website.

Waiting list. When my diary is full, you can join a waiting list by giving your name, email address and phone number, and optionally your preferred times. I use these only to contact you when a space becomes available. Like the contact form, it is emailed to me and not stored on this website.

Booking a consultation. If you book through the booking window, the details you enter (such as your name and email address) are collected by Calendly, the booking service I use, and passed to me so I can confirm your appointment.

Email. If you email me directly, I receive whatever you choose to include.

Website statistics. Only if you click “Accept analytics”, I use Google Analytics to understand how visitors use the site, for example which pages are viewed, roughly where visitors are in the world, what device they use and how they found the site. I have switched off Google’s advertising features. If you reject analytics, none of this is collected.

Hosting and security. My web host, IONOS, keeps standard technical records (such as IP addresses and browser type) to run the website securely.

Sensitive information

When you get in touch, you may choose to tell me about your health, wellbeing or personal circumstances. Please only share what you are comfortable with — a short message is enough to start. I treat everything you tell me as confidential and use it only to respond to your enquiry. By choosing to send it, you give your explicit consent for me to use it for that purpose.

The contact form is not monitored for emergencies. If you need urgent help, call Samaritans free on 116 123, or 999 if you are in immediate danger.

The legal basis for using your information

  • Replying to enquiries and arranging consultations: my legitimate interest in responding to people who contact me, and taking steps you have asked for before we agree to work together.
  • Website statistics: your consent, which you can withdraw at any time.
  • Health or other sensitive details you choose to share: your explicit consent.

Who I share it with

I do not sell your information or use it for marketing. I only share it with the services that help me run this website and my practice:

  • IONOS — website hosting and email.
  • Calendly — online booking, if you use it.
  • hCaptcha — spam protection on the contact and waiting-list forms. It checks that a form is being filled in by a person, and receives technical information such as your IP address and browser details to do this.
  • Google — website statistics, only with your consent.

Some of these companies may process information outside the UK, including in the USA. Where this happens, they are required to use the safeguards set out in UK data protection law.

I may also need to share information if the law requires it.

How long I keep it

  • Enquiries that don’t lead to therapy: deleted within 6 months of our last contact.
  • If you become a client: kept as explained in my client agreement and in line with my professional obligations.
  • Website statistics: Google Analytics keeps detailed visit data for 2 months and visitor-level data for up to 14 months.

Cookies

  • tt_consent — remembers whether you accepted or rejected analytics, for 6 months. This is needed for the site to respect your choice, so it does not need consent.
  • wp-postpass — set only if you enter the password for the client area, so you don’t have to type it on every visit. It lasts 10 days. This is needed for the client area to work, so it does not need consent.
  • Google Analytics cookies (names beginning _ga) — set only if you accept analytics. They help count visits and can last up to 2 years.
  • Calendly may set its own cookies when you open the booking window, under Calendly’s privacy policy.

You can change your choice at any time using the Cookie settings link at the bottom of every page.

Your rights

You have the right to ask for a copy of the information I hold about you, to have it corrected or deleted, to restrict or object to how I use it, to receive it in a portable form, and to withdraw consent at any time. To do any of these, use the contact form or leave a voicemail on 01392 241113. I will reply within one month.

If you are unhappy with how I have handled your information, please tell me first so I can try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.

Changes to this policy

I will update this page if anything changes. Last updated: 13 October 2026.
